Terms of use. The agreement, in plain words.

These terms apply when you use the Unique Alphabet® platform (app.uniquealphabet.com) and the website uniquealphabet.com. By opening an account or moving to a paid plan you accept them for your company. A summary of the main points is shown on the acceptance screen as well.

01 The parties, and who the platform is for

The agreement is between your company (the Customer) and Wennes Biyoteknoloji Limited Şirketi (Unique Alphabet®; its details are in the Privacy notice and on the Contact page). The person who opens the account confirms they may act for the company.

The platform is offered only to businesses that make, sell, import or assess cosmetic products, for their trade or profession. The Customer confirms that it does not enter into this agreement as a consumer within the meaning of Turkish Consumer Protection Law No. 6502, and is responsible for the consequences if that statement is untrue.

02 What the platform does, and what it does not

The platform prepares drafts and keeps records: a CPSR draft from your formula, checks against the annexes, a product information file, and the matches Regulatory Watch™ finds. It is a decision-support tool; it does not replace a qualified safety assessor. The safety assessment, the signature, the final label and the decision to place a product on the market, and the responsibility for them, stay with your assessor, your Responsible Person and your company.

The platform is a software service that performs calculations, compiles data and prepares drafts from your formula. It does not perform, and does not replace, the safety assessment (CPSR Part B) required by the Cosmetic Products Regulation, and it does not decide in the place of the person who must perform it; that assessment is carried out and signed by your own chosen Safety Assessor, who holds the relevant diploma and TÜRKAK accreditation. The liability limitation in §14 rests on this distinction.

Regulatory content on the platform and the website (guides, glossary, change log) is information, not legal advice. Label Check's AI result is a second reading, not a ruling; so is the Assistant's answer — it shows and names its source, and does not decide compliance. We monitor regulatory sources, but we do not promise to catch every change on the day it is published.

03 Your account

Keep your password to yourself and turn on two-step sign-in. Your company is responsible for what happens under its account and for the people it invites. Tell us at once at dev@uniquealphabet.com if you think someone else has got in. Keep your company details up to date; invoices and notices go to them.

04 Plans, the first 14 days, active files and the new file allowance

  • A new account opens on the Free plan. No card is asked for. The first 14 days come with full access: every module is open with the Studio plan's features. On Free, the first 14 days included, product files, reports, SDSs and tables download, but every page carries a "Free plan — not for official use" watermark; documents without the watermark come with a paid plan. Downloading the whole account as one archive is not available on Free. The first 14 days have no separate new file allowance: Free's allowance of 1 applies (below); when you move to a paid plan, the new files opened in that time are deducted from the plan's included new file allowance.
  • When the first 14 days end, the account carries on within the Free limits and nothing is deleted at that point. If your usage is above the Free storage (1 GB), the 60-day period in §09A starts.
  • Plans are measured with two counters: active files and the new file allowance. In these terms, the new file allowance means the right to open new product files; each new product file uses one from it. For paid plans, the Pricing page and the platform show it as "Included new files per year". New files bought on top of the included allowance are called extra files in these terms (§05). The new file allowance is not the same as the "service credit" in Schedule 2 (an invoice discount given when the uptime commitment is not met); neither can be converted into the other.
  • An active file is a product file you keep open at the same time as others: one per product on the market. A product you discontinue moves to the archive and stops counting towards the active-file limit; while the account is open the archive stays readable and products can be restored from it. There is no limit on the number of archived products; their files count towards your storage.
  • When you reach your active-file limit, existing files keep working; to open a new active file, archive a product or move to a larger plan. Archiving only frees an active-file place; it does not give back a new file.
  • When the new file allowance is used. Each new product file uses one new file from the allowance: creating a product with the wizard or by uploading a product information file. Routes added later that create new products (for example copying a product or bulk import) also count as a new file. It is used the moment the product is first saved, including when it is saved as a draft.
  • What does not use the new file allowance: editing an existing product, importing a formula into it, producing report and document versions, Regulatory Watch™ updates, viewing and downloading, archiving a product. Archiving a product (deleting a product in the platform is archiving it) does not give back a new file already used.
  • Restoring a product from the archive uses one new file: each time an archived product is made active again, even the same product within the same year, one is taken from that subscription year's allowance. Without one, you can buy an extra file (§05) or move to a larger plan to restore it.
  • A company transfer does not use the new file allowance. Products that arrive in your account by a company transfer (active or archived) do not count as a new file; the active ones count towards your active-file limit and their files towards your storage. No new file is given back to the account that sends the products.
  • A product file belongs to one product. For another product, a new product file is opened, rather than an existing file being turned into that product.
  • Included new file allowance. Paid plans include, for each subscription year, as many new files as the plan's active-file limit: Starter 10, Solo 40, Studio 150, Office 400. The number stays the same at renewal. Each plan's number is also shown on the Pricing page, in the line "Included new files per year"; beyond it, extra files (§05).
  • On a yearly plan the included new file allowance is added at the start of the subscription year. On a monthly plan one twelfth of that subscription year's included allowance is added each subscription month; an unused monthly share carries over to the next month. At the end of the subscription year, the unused included allowance expires and does not carry into the new year.
  • When your included allowance runs out, existing files keep working; for a new file you can buy extra files (§05) or move to a larger plan. If, at the rate you open new files, a larger plan works out cheaper than extra files, the platform shows that first.
  • Order of use: first the period's included new file allowance, then, once it is used, the extra files you bought, oldest purchase first.
  • The Free plan has a new file allowance of 1 for the life of the account, and 1 active file at a time: it does not renew, and extra files are not sold on Free; for more, you need Starter or a larger plan. The Free allowance is tied to the company's tax number (in Türkiye the tax identification number, which for a sole trader can be the national ID number; in the EU the VAT number or, for a company without one, its trade register number; in the UK the VAT number, the Companies House company number or, for an individual, the UTR): Free accounts opened with the same number share this allowance of 1, and closing and reopening the account does not reset the count. The tax number is requested and checked when the account is opened; an account cannot be opened with a number that fails the check. After that it can only be changed through support. The check: in Türkiye by its check digit; in the EU the VAT number in the European Commission's VIES system; in the UK the VAT number with HMRC and the company number in the Companies House register; a trade register number and a UTR are checked by format only and are not sent to any service. How the number is handled is set out in the Privacy notice (§03, §08).
  • When the account moves to Free (the first 14 days or a paid period end, or a payment fails), the Free allowance looks at the total number of new product files the account has opened up to that day: if the total is 1 or more, no new file allowance is left on Free. Products above Free's active file limit (1) are not deleted and stay readable; for a new active file, archive or move to a paid plan. Extra files you bought and have not used are frozen on Free; when you return to a paid plan they can be used for the rest of their validity.
  • Storage. Each plan comes with storage: Free 1 GB, Starter 3 GB, Solo 10 GB, Studio 40 GB, Office 100 GB. It counts the files you upload, the files the platform produces for you (CPSR and SDS PDFs, report versions and their language copies included) and the files of archived products. You see your usage on the Your plan page; we tell you when you reach 80%.
  • When storage is full, nothing is deleted or locked. You can still see and download every file; only uploading files and producing new outputs (PDFs, report versions) stops. To go on, delete files, add a storage pack on a paid plan (§05) or move to a larger plan.
  • When you move to a smaller paid plan, files above the new storage are not deleted; they stay readable and downloadable, and nothing new can be added until you are back under the limit. Moving to Free and a Free account left unused follow different rules (§09A).
  • Number of users. Each plan sets how many users can be active at a time, the account owner included: Free 1, Starter 2, Solo 3, Studio 10, Office 25; on Enterprise, as agreed (at least 50). Invited users waiting to accept count too. At the limit, existing users keep working; to add someone, remove a user or move to a larger plan. Moving to a smaller plan does not remove users; it only stops new ones being added.
  • Number of company profiles. Company profiles active at a time, the main one included: Free 1, Starter 1, Solo 5, Studio 20, Office 40; unlimited on Enterprise. Profiles above the limit are not deleted and stay readable; only new ones cannot be opened.
  • Logo and footer. Your company logo is printed on documents (report cover, product information file front page) on the Office and Enterprise plans; on other plans documents carry your company name and address without the logo, and your logo is kept. Every page of the CPSR and SDS carries the Unique Alphabet logo and "Prepared with Unique Alphabet" at the bottom; on Office and Enterprise you can turn this off in Settings. Turning it off applies to documents produced from then on; saved and signed report versions do not change.
  • What each plan includes is what these terms, as you accepted them, and the Pricing page say; the new file allowance (this section) is part of every plan's scope. While the terms you accepted are in force, your plan's scope is not narrowed to your disadvantage within a subscription period; changes to these terms take effect under §15.

05 Prices, payment, renewal and refunds

Currency. Prices on the Pricing page are in euros and exclude VAT. For Customers resident in Türkiye, the contract fee is the Turkish lira amount shown on the payment confirmation screen and accepted by the Customer (calculated at that day's Central Bank of the Republic of Türkiye selling rate); it is invoiced and collected in that amount and does not change with the exchange rate after acceptance. The lira amount for each renewal is stated in the reminder sent before renewal. For Customers resident outside Türkiye, the fee is in euros. The payment confirmation screen shows the total including taxes.

Payment. Paid plans are billed monthly or yearly in advance; Office is yearly only. Card payments are taken on the payment institution's page; your card details never reach us. Until online payment opens, we sell paid plans directly by quote and invoice.

Renewal. A subscription renews automatically for the same term unless you cancel before the end of the period. We email you before renewal: at least 30 days before for yearly plans, 7 days for monthly plans.

Price changes. Prices change only from the next renewal and are announced at least 30 days ahead. If you do not accept the new price, you can cancel before the renewal date.

Cancellation and refunds. You can cancel at any time from the platform; cancellation takes effect at the end of the paid period and you keep using the platform until then. Paid periods are not partly refunded. We refund the unused part of the period pro rata if: we materially breach our obligations; we end the service (except suspension or termination under §10); the service becomes impossible to provide for a reason not attributable to you; or you leave because you do not accept a change to these terms that is to your disadvantage (§15).

Changing plan. Moving to a larger plan is charged at once, pro rata for the days left in the period. Moving to a smaller plan takes effect at the next renewal. When you move to a larger plan, the new plan's included new file allowance for that subscription year (§04) is given pro rata for the days left in the period, less the included allowance you have used in that period; extra files you bought keep their validity whatever the plan. Upgrade bonus: when you move to a larger plan you also receive 10 new files; the bonus is given once for each plan (moving to a smaller plan and back to the same plan does not give it again) and is stated in the email confirming the change. Like the included allowance, the bonus expires at the end of that subscription year and is used together with it, before extra files.

Extra files. On a paid plan whose included new file allowance is used up, per new file: Starter €15, Solo €12, Studio €9, Office €7 (excluding VAT; the lira rule in this section applies). There are no packs; extra files are bought one by one, in any number you need. Extra files are not sold on Free (§04).

  • Who can buy them: for now, extra files are sold only to Customers resident in Türkiye and invoiced in Türkiye under the lira rule in this section, by online card payment. When sales open to Customers resident outside Türkiye, this is announced on the Pricing page.
  • Payment: one-off and in advance; not a subscription, and it does not renew. Extra files are added to the account as soon as payment is confirmed; as for subscriptions, the payment confirmation screen has a required box in which you confirm you want the service to start as soon as you pay.
  • Validity: 24 months from the day of purchase. Extra files not used in that time expire. A change of plan does not affect the period; on the Free plan extra files are frozen (§04).
  • Refunds: extra files you buy are not refunded and cannot be exchanged for money. Exception: the four exceptions under "Cancellation and refunds" apply here too — we materially breach our obligations; we end the service (except suspension or termination under §10; §09C); the service becomes impossible to provide for a reason not attributable to you; or you leave because you do not accept a change to these terms that is to your disadvantage (§15). In these cases we refund the extra files that are unused and still valid, at the unit price you paid.

Storage pack. +50 GB on top of your paid plan's storage, €29 a month (excluding VAT; for Customers resident in Türkiye the lira rule in this section applies). Available on paid plans only; you can add more than one. A pack stays when you move between paid plans and ends if the account moves to Free. It renews monthly until you cancel it; cancellation takes effect at the end of the paid month, and from then on storage above the limit follows the "smaller paid plan" rule in §04. Until online payment opens, packs are sold on request and by invoice.

Archive plan. Yearly only. Priced by the volume archived: up to 10 GB €119, up to 40 GB €249, up to 100 GB €499 (a year, excluding VAT). Details in §09B.

If a payment fails or a paid period ends. We email you and give you 7 days to update the payment method. After that the account moves to the Free plan. Whatever is above the Free limits stays read-only for at most 60 days from the end of the period: you can see and download everything and export the whole account, but nothing new can be added or changed. We email you 30 days and 14 days before deletion. If at the end of the 60 days your usage is still above the Free storage (1 GB) and you have not moved to an archive plan, the account's data is deleted as set out in §09A; if it is below, the account carries on on the Free plan. On moving to Free, the new file allowance follows the Free rule in §04.

06 Your content

Your company owns its formulas, product files, supplier documents and reports. You give us the right to store, process and display them only as needed to run the platform for you, and to make backups to keep them safe. We do not use them for anything else, and we do not use them to train AI models.

You are responsible for having the right to upload what you upload, including personal data of your assessor, Responsible Person and suppliers, and for informing those people. How we handle that data is set out in Schedule 1 — Data Processing Agreement, which you also accept by opening an account. For a signed copy, write to hello@uniquealphabet.com.

07 Sharing

When you share a file by link, you choose the term, the watermark and whether download is allowed, and you can revoke the link at any time. MoS, NOAEL and other assessment values are hidden by default; if you choose to show them, the recipient sees them. What you share, and with whom, is your company's decision and responsibility. If a product file involves a contract manufacturer, a brand or an invited assessor, the Contract Manufacturing and Brand Access Terms also apply; the visibility the contract manufacturer chooses for formula percentages applies in your file.

08 Export

  • On a paid plan you can download a product's whole file as a ZIP at any time, and take the whole account as one archive.
  • For 60 days after a paid period ends or a payment fails, the same downloads stay open (§05).
  • When you close the account, you can download the whole account during the 90-day wait (§09).
  • Throughout an archive plan, you can download the whole account (§09B).
  • We do not charge for these downloads. The archive plan is a convenience, never a condition for getting your files.
  • On Free (the first 14 days included), single downloads carry a watermark and the whole-account archive is not available (§04).
  • On any plan you can ask for a copy of the personal data we hold about you in the ways set out in the Privacy notice; we send it within 30 days.

09 Closing your account

The account owner or an Administrator can close the account. Before it closes, you can download everything. We keep the data for 90 days after closing, and you can undo the closure during that time; then we delete it. If you have moved to an archive plan, we keep it for as long as the plan runs (§09B). We email you when the account closes, 14 days before deletion, and when it is deleted.

Documents the law asks you to keep, such as a product information file for ten years after the last batch, remain your company's responsibility. The closing screen lists, by name, the files whose legal period has not ended and asks you to confirm you have exported them.

Records we must keep: invoices and subscription records (10 years), the record of the terms you accepted (10 years), and the Audit Log (10 years in the archive).

In addition, so that the Free allowance (§04) is not used again by the same company, we keep a one-way fingerprint of the tax number and the number of Free new files used for 5 years after closing; the tax number itself is deleted (Privacy notice §08). Unused extra files are not refunded on closing (§05); if you undo the closure within the 90 days, they can be used for the rest of their validity.

09A When a Free account's data is deleted

The Free plan has no time limit, but in two cases a Free account's data is deleted in full:

  1. Above 1 GB on moving to Free. If, when the account moves to Free (a paid period ends, a payment fails or the first 14 days end), your usage is above the Free storage (1 GB), the account stays read-only for 60 days. During that time you can delete files to get under 1 GB, go back to a paid plan or move to an archive plan (§09B). If you are still above 1 GB at the end of the 60 days, all the account's data is deleted. After a paid period you can export the whole account during those 60 days (§05); on an account that has never paid, the whole-account archive is not available (§04) and files are downloaded one by one.
  2. A Free account unused for 90 days. If nobody signs in to the account for 90 days, we email the account owner a first warning, and a final warning 14 days later. If there is still no sign-in 7 days after the final warning, the account is closed and all its data is deleted. Signing in once after a warning keeps the account.

In case 1 we send a first notice 30 days and a final notice at least 14 days before deletion; in case 2 the two warnings go out 21 and 7 days before deletion. These notices name the product information files whose legal retention period has not ended. Deletion is the same as on closing in §09: the records listed there stay for their legal periods and the account counts as closed. Documents the law asks you to keep remain your company's responsibility.

A Free account's allowance of 1 new file is tied to the tax number (§04): even after the account is deleted, a new Free account opened with the same number continues with what is left of it; for this we keep the fingerprint described in §09.

09B Archive plan

A Customer who closes the account, or whose paid plan ends, can move to an archive plan to keep its files with us read-only.

  • What stays open: the whole team, each user within their role's scope, can see and download files and export the whole account. Editing, adding product files or uploads, new outputs and new invitations are closed.
  • Term and fee: yearly only, paid in advance, at the tier the archived volume falls into (§05). The storage rule applies in the archive too.
  • Renewal: it renews for another year unless you cancel before the end of the term; we email you at least 30 days before renewal.
  • Price changes: the archive plan price can change only at renewal and is announced by email at least 60 days ahead. If you do not accept it, you do not renew, and you export your files free of charge.
  • Ending: if you cancel the archive plan or the renewal fee cannot be collected, a 30-day period starts from the end of the term; you can download everything during it, and at the end, after a final notice at least 14 days before, we delete the data.
  • The archive plan helps you keep product information files for as long as the law requires; the obligation itself stays with your company, as in §09.

09C If the service ends or is transferred

  • If we shut the platform down, we tell account owners by email and in the platform at least 90 days ahead. During that time you can export the whole account free of charge. We refund the unused part of any period paid in advance (subscription, storage pack, archive plan) pro rata, and the unused, still valid extra files at the unit price you paid (§05).
  • If we transfer the platform or this agreement to another company, that company is bound by these terms and the Data Processing Agreement; we tell you at least 30 days before the transfer. If you do not accept it, you can leave within that time without penalty, receive a pro rata refund of the unused period and export your data free of charge.

10 Fair use, suspension and termination

Do not use the platform to break the law, to upload malware, to probe or overload our systems, to get into other companies' data, or to resell access without our written agreement. Automated access is allowed only through features we provide for it.

We may suspend an account that does any of this, or that puts other customers at risk, and we lift the suspension once the risk is gone. We tell you why in writing, unless the law stops us. For a serious breach, or one that continues after a written warning, we may terminate the agreement; even then we give you at least 30 days to download your data, unless the law or the safety of others prevents it.

Either party may terminate if the other materially breaches its obligations and does not put it right within 15 days of written notice.

11 Availability and maintenance

We make reasonable efforts to keep the platform available and announce planned maintenance at least 48 hours in advance. Unless your company has a separately signed service level schedule (Schedule 2), we do not promise a specific uptime.

12 Expert services

Our expert services (the product file service, Responsible Person in Türkiye, assessor signature, PIF completion, checks and laboratory tests) are agreed in a separate written contract and quote. Where these terms and that contract differ, that contract applies.

13 The website and third-party content

Pages on uniquealphabet.com are for information. Comparison pages describe other tools as their own public pages did on the date shown; check the current version with the provider. Links to official texts and other sites are for convenience; we are not responsible for their content.

14 Liability

We prepare and run the platform with care. We are not responsible for the results of decisions made from its drafts, checks or matches without review by a qualified person (§02).

The platform is the software service described in §02; it does not perform, and does not replace, the safety assessment required by the Cosmetic Products Regulation — that is a profession that requires expertise and may only be carried out under a licence or permission granted by law or by a competent authority, and it is carried out by your assessor. Independently of this distinction, the limitation below applies to every service we provide and every cause of action (breach of contract, tort, or any other legal ground); the only exceptions are our intent, our gross negligence, damage to life or health, and any other liability that the law does not allow to be limited.

Except for our intent or gross negligence, damage to life or health, and any other liability that the law does not allow to be limited:

  • our total liability arising from our slight negligence is limited to the fees your company actually paid us under this agreement in the 12 months before the event that caused the damage; on the Free plan (the first 14 days included) the limit is TRY 1,000, or €50 for Customers outside Türkiye;
  • we are not liable for loss of profit, business interruption, loss of reputation or other indirect loss arising from our slight negligence;
  • our liability for the acts of our hosting, infrastructure and payment providers is subject to the same limits.

15 Changes to these terms

We announce changes to these terms to account owners by email and in the platform at least 30 days before they apply. A change to your disadvantage applies when you accept it in the platform or, if you do not, at the end of your current subscription period; if you do not accept it, you can choose not to renew, or leave before the end of the period and receive a pro rata refund of the unused part (§05). Changes only in your favour, and changes the law requires, may apply at once. The fee and plan scope of a paid period do not change to your disadvantage before that period ends.

16 Governing law and disputes

This agreement is governed by the law of the Republic of Türkiye. For disputes with Customers who are merchants, the İstanbul (Çağlayan) Courts and Enforcement Offices have exclusive jurisdiction under Article 17 of the Turkish Code of Civil Procedure. For other Customers, the statutory rules on jurisdiction apply. Where the law requires it, mediation is sought before going to court.

17 Language

These terms are published in Turkish and English. If the two differ, the Turkish text prevails.

18 Notices

We send notices about this agreement to the email address registered on your account and in the platform; both parties accept this as a valid way to give notice. We send termination and default notices to merchant Customers by registered electronic mail (KEP). You can cancel from the platform or by writing to support@uniquealphabet.com; our KEP address for formal notices is wennesbiyoteknoloji@hs01.kep.tr. Notices that the law requires in a particular form are given in that form.
